A FAIR, SIMPLE VOTE

Privacy & voting rules

Your ballot

Support as many different papers as you like. Each selection contributes one point. You may choose one selected paper as best; it receives two points total. You can change your mind while voting is open. Choices count only after the server confirms saving them.

Oral and poster papers are equally eligible. Please do not vote for papers you coauthored, create multiple accounts, or vote on another person’s behalf. Organizers can exclude invalid votes after review. Scores are visible only to organizers.

What organizers can see

We collect your verified email, full name, current votes, and vote-change history. Ballots are identifiable to organizers, not anonymous. Organizers use this information to administer the award and review possible self-votes or duplicate accounts.

We use a first-party browser cookie, a keyed digest of your IP address, and basic browser information to help identify suspicious activity. We do not request GPS location or use advertising trackers. These signals do not automatically disqualify votes.

Email and storage

Verification emails are sent through our transactional email provider, Postmark. Your browser receives session and security cookies. We do not store unsent votes in local storage. Keeping the same browser lets you return to your account without signing in again.

Retention and questions

Identifiable voting and security records are scheduled for deletion 30 days after the award using the organizer’s purge procedure. Aggregate results are retained. Off-server backups expire separately within the following 30 days. Email-provider records follow the provider’s retention policy. Speak to a workshop organizer about access, corrections, or account recovery.
